Task Group Responsibilities:

Clerk/Correspondent:

It is the responsibility of the Clerk/Correspondent to coordinate the recording of the minutes of all Council meetings, Special meetings, and the Annual Meeting of the church, to oversee keeping the records of marriages, baptisms, deaths, and additions or deletions to the church membership rolls, and to oversee the role of liaisons with the Rockingham Association, the New Hampshire Conference, and the national body of the United Church of Christ.

The Clerk/Correspondent will:

Council meetings - Record the minutes of Council meetings, and direct the Office manager to distribute copies to mailboxes and the church bulletin board. Ensure that a summary of the minutes is submitted to the Lantern.
Council members - Keep a list of Council members and their task group responsibilities. Update list at the beginning of the Council year. Direct Office Manager to distribute copies of list to Council members, Pastor, Treasurers, church bulletin board, and Lantern.
Church membership - Oversee, along with the Council and Office Manager, the register of the members of the Church, with dates and modes of their reception and approval. Direct Office Manager to post Membership List for Annual Meeting.
Baptisms, marriages and deaths - Oversee, along with the Council and Office Manager, the list of baptisms, marriages and deaths.
Letters of transfer - Notify Office Manager when to send transfer form to record the transfer of a member to another church, to record the transfer in the church records, and to remove the name from the church membership rolls.
Special meetings of the Congregation - Post notices of meetings two weeks in advance at both churches. Place notices in Sunday bulletin and Lantern. Record minutes of the meetings.
Annual Meetings and reports - Post notices two weeks in advance of the meeting at both churches. Notify each Council member that an annual report is due from respective task group(s) by middle of December. Submit Clerk/Correspondent's annual report to the Office Manager with a copy of the minutes of the previous year's Annual Meeting.
Correspondence - When notice is received that a memorial gift has been given, send thank you note using memorial thank you cards (found in office). Receive, send, and file other correspondence as needed, including newspaper notices, working with Office Manager.
Denomination Liaison - Work with delegates to Rockingham Association, New Hampshire Conference, and national United Church of Christ, looking for opportunities to attend local, state, regional and national UCC events, and to report back to the Congregation.
Support - Support the next Council person who oversees this task area. Pass on all relevant documents to the next Council task area person. Be available to the next Council task person for consultation as needed.
